To sync the data with your adtracking platform you will need to have your adtracking instance connected to the Billoid account. To do so, follow the steps for the respective adtracking platform:

Once connected, you can sync the data by clicking on AdTracker → Get New AdTracker Data.

For smaller sync scopes you can use the Partial AdTracker Sync to synchronize a specific part of the data like:

  • Employees only
  • Affiliates & Employees only
  • Advertisers & Employees only
  • Offers & Stats only



What data will be synced?

A full synchronization will get the following data from the adtracking platform:

  • Employee email addresses and names
  • Affiliates core data (company, address)
  • Affiliate users (email address, name)
  • Affiliate payment method
  • Advertiser core data (company, address)
  • Advertiser users (email address, name)
  • Offers (Offer names, payout types, revenue types, payouts, revenues per transaction)
  • Aggregated Statistics

What time frame will be synced?

If not customized for your account, the standard synchronization period is the current month up to “yesterday” plus the full last three months. Only finished days will be synced.

Example: If you sync on 7th June, Billoid will synchronize the statistics from 1st March to 6th June.

Where will the adtracker data show up in Billoid?

Employees will be visible in the Employees list where you can manage the user accounts.

Advertisers and affiliates will be available in the advertiser and affiliates lists. There, you can manage the accounts and make individual changes per customer or supplier.

Statistics are the values Billoid holds up for billing. For advertisers, this section is the “Generate invoices” list. For affiliates, it is the “Generate Credit notes” list.

Billing frequencies

The statistics will be provided per advertiser or affiliate and aggregated by billing period. The billing period can be weekly, bi-monthly or monthly. It can be changed by standard, billing rule (client group) or per client individually.

On a client basis you can change the billing frequency under “Edit Billing Settings”.

Once you change the billing frequency for a client please make sure to refresh the Generate sections in order to update the up for billing data accordingly. The change of the billing frequency will start from the last billed period.

Adjusting adtracker statistics

You can adjust your partner’s stats in two different ways. First is the adtracking platform, second you can amend figures in Billoid. We strongly recommend to adjust data in the adtracking platform as Billoid has a read-only connection to the adtracking platform.

If you change figures based on the stats in the adtracker directly in Billoid by adjusting the line item before you create an invoice, please make sure this same change does NOT happen in the adtracking platform as well. In that case, you would receive an automatic adjustment in case it is within the sync range.

Adjustments will appear only if you have invoiced a specific time period in which something has changed on the statistics in the meantime. As long as a time period is not invoiced yet, updating statistics on the adtracker for that time frame will result in an update of the data in Billoid as well.

Limitations

Advertiser or Affiliate records may not have a younger creation date on the adtracker platform than statistics which relate to the respective account. That means, if the affiliate was created in June 2019, no data before the date of creation will be considered by Billoid.
